Cancellation, Refund & Return Policy

Evergreen Adventure Group™ (“EAG,” “we,” “us,” or “our”) is committed to providing guests with clear information regarding cancellations, refunds, credits, returns, and exchanges.

This Cancellation, Refund & Return Policy applies to purchases made through Evergreen Adventure Group™, Camp Evergreen, GreenLeaf Adventures™, and other EAG programs, excursions, events, travel services, and merchandise, unless a specific program, event, booking confirmation, or supplier policy states otherwise.

By purchasing a product, excursion, event, or travel service through our website or directly through EAG, you acknowledge and agree to the terms of this policy.


1. Excursions, Events & Adventures

Unless otherwise stated in the specific excursion or event description, EAG excursions and events are generally non-refundable.

Because EAG must make advance commitments to transportation providers, venues, attractions, hotels, guides, ticket providers, and other suppliers, payments may become non-recoverable once reservations and arrangements are confirmed.

Cancellations 14 or More Calendar Days Before an Excursion

For eligible EAG excursions, cancellations received 14 or more calendar days before the scheduled start of the excursion may qualify for a future-travel credit, subject to the specific terms of the excursion.

Credits:

  • Are not automatically guaranteed.
  • May be subject to expiration dates or other restrictions.
  • May only be used toward eligible future EAG experiences.
  • Are not transferable unless expressly approved by EAG.
  • Are not redeemable for cash.

The applicable excursion's published cancellation terms will control if they differ from this general policy.

Cancellations Less Than 14 Calendar Days Before an Excursion

Cancellations made less than 14 calendar days before the scheduled start of an excursion are not eligible for a credit, return, or refund, regardless of the reason for cancellation, except where required by applicable law or where EAG provides written approval of an exception.

This includes cancellations due to:

  • Illness or injury
  • Personal emergencies
  • Transportation problems
  • Weather affecting the guest's ability to attend
  • Changes in personal plans
  • Work or scheduling conflicts
  • Failure to arrive at the designated departure location
  • Late arrival or missed departure
  • Other circumstances outside of EAG's control

Guests are encouraged to consider travel insurance when appropriate.


2. EAG-Canceled or Changed Excursions

If EAG cancels an excursion or makes a substantial change that materially affects the experience, EAG will communicate available options to registered guests.

Depending on the circumstances, options may include:

  • Transfer to a rescheduled date;
  • Future-travel credit; or
  • A refund when specifically offered by EAG.

The available remedy may depend on amounts already paid to third-party suppliers and the terms under which those suppliers permit EAG to recover funds.

EAG will communicate applicable options to affected guests as soon as reasonably practical.


3. Third-Party Travel Bookings

Travel reservations made through EAG's travel services or self-service travel platform—including:

  • Airfare
  • Hotels
  • Rental cars
  • Cruises
  • Resorts
  • Tours
  • Travel packages
  • Travel insurance
  • Other travel-related products or services

may be subject to the terms, cancellation policies, refund policies, fees, restrictions, and deadlines of the applicable travel supplier or provider.

These supplier terms may be different from EAG's general excursion cancellation policy.

Important

Once a travel reservation has been purchased, the supplier's cancellation and refund rules may control whether a refund is available and the amount that may be refunded.

Some travel products may be:

  • Fully refundable;
  • Partially refundable;
  • Non-refundable;
  • Subject to cancellation fees;
  • Eligible for a credit rather than a monetary refund; or
  • Subject to specific change or cancellation deadlines.

Customers should review the applicable terms and conditions presented during the booking process before completing a reservation.

EAG cannot guarantee a refund when the applicable airline, hotel, cruise line, resort, tour operator, rental car company, insurance provider, or other supplier does not provide one.


4. Travel Insurance

Travel insurance is a separate product and is subject to the terms and conditions of the insurance provider.

Purchasing travel insurance does not automatically guarantee reimbursement for a canceled or interrupted trip. Coverage depends on the policy purchased, covered reasons, exclusions, documentation requirements, and applicable claim procedures.

Guests should review their insurance policy carefully and contact the insurance provider directly regarding coverage or claims.


5. Travel Credits

When EAG provides a future-travel credit, the credit will be subject to the terms communicated at the time the credit is issued.

Unless otherwise stated:

  • Credits have no cash value.
  • Credits cannot be exchanged for cash.
  • Credits are not automatically transferable.
  • Credits may have an expiration date.
  • Credits may not be combined with certain promotions or offers.
  • Credits may only be used toward qualifying EAG products or experiences.

Specific credit terms provided with an individual cancellation or promotion will supersede this general section.


6. Travel Mart Merchandise

All Travel Mart merchandise sales are final.

Travel Mart merchandise is not eligible for monetary refunds or refunds to the original form of payment.

Eligible merchandise may be exchanged for another item, subject to:

  • Availability;
  • Merchandise condition;
  • Original purchase documentation; and
  • Any exchange deadline communicated at the time of purchase.

Items must generally be returned in unused and resalable condition unless otherwise approved by EAG.

Personalized, customized, clearance, or specially ordered merchandise may be ineligible for exchange.

If merchandise arrives defective or materially different from what was ordered, please contact EAG as soon as possible so the issue can be reviewed.


7. Delivery of Excursion Materials

Excursion tickets, confirmations, itineraries, admission materials, and other travel documents may be provided through various delivery methods, including:

  • Will-call;
  • In person;
  • Directly at the venue on the day of travel;
  • Text message; or
  • Email to the participant's email address.

Guests are responsible for providing accurate contact information and monitoring the communication method used for their reservation.

Failure to receive or review information because inaccurate contact information was provided does not automatically create a right to a refund.


8. Refund Processing

When a refund is approved, refunds will generally be issued to the original form of payment, unless otherwise agreed or required by the applicable supplier or law.

Processing times may vary depending on:

  • EAG's payment processor;
  • The original payment method;
  • Third-party travel suppliers;
  • Banks or financial institutions; and
  • The circumstances giving rise to the refund.

A refund may not be issued until EAG has received the corresponding refund from a third-party supplier when the supplier controls the applicable funds.


9. Service Fees & Non-Refundable Charges

Certain fees associated with travel planning, booking, ticketing, processing, administration, or other services may be non-refundable.

Where applicable, these fees will be disclosed before or during the applicable purchase or booking process.

Supplier-imposed fees, cancellation penalties, change fees, and other charges may also apply.


10. Exceptions Required by Law

Nothing in this policy is intended to limit or waive any rights or remedies that cannot legally be waived under applicable federal, state, or local law.

Where applicable law provides a consumer with a cancellation, refund, or other right, that law will control.

Washington's Attorney General notes that cancellation and refund rights can vary depending on the type of transaction and applicable law.


11. How to Request a Cancellation or Refund

Cancellation or refund requests should be submitted as soon as possible.

Guests should provide:

  • Full name;
  • Reservation or order number;
  • Date of purchase;
  • Excursion, event, or travel service name;
  • Scheduled travel or event date; and
  • Reason for the request, when applicable.

Important: The date EAG receives the cancellation request will be used when determining whether the request falls within an applicable cancellation period.
